Tailoring Project Management Templates based on Project Characteristics

Abstract

The importance of delivering information for project team members is crucial to project success. This is usually practiced through certain reporting activities with the use of templates that provides guideline for constructing reports. A template works as part of control on what specific information needed for certain tasks and processes as well as documenting lesson-learned events. In a PRINCE2 (Project in a Controlled Environment) methodology, thirty-six so-called management products templates were established and introduced for project usage. These templates facilitate project managers on what information should be distributed to team members. However, different characteristics of projects may need different type and number of templates. The decision on the selection of templates, which we termed here as Tailoring is often made by Project Managers, based on their experience and understanding of the project characteristics. This could be the project duration, cost, complexity and several other attributes. This paper is a study to determine what attributes in a project contributed to the tailoring of PRINCE2 templates. Interview sessions were conducted with project managers to determine what templates are utilized based on the type of attributes they have. It is anticipated that project managers often tailor project templates to suit their project characteristics in order to prevent over documentation crisis and lack of attention towards the desired product as their main deliverable.
